Job Description:

We are seeking a highly organized and professional Personal Assistant to provide executive-level administrative and personal support to the company’s Directors. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules and communications.

Key Responsibilities:

• Manage calendars, appointments, and travel arrangements for Directors.
• Handle confidential correspondence and communication.
• Organize and coordinate meetings, including preparing agendas and minutes.
• Liaise with internal teams, clients, and external stakeholders.
• Support project coordination and administrative reporting.
• Anticipate and address the Directors’ needs proactively.

Qualifications, Experience & Skills:

• Diploma or Degree in Business Administration or related field.
• Minimum 5 years’ experience as a PA or Executive Assistant.
• Excellent communication, time management, and organizational skills.
• Strong proficiency in Microsoft Office Suite.

Job Description:
The Executive Secretary will be responsible for providing high-level administrative and personal support to the Chief Executive Officer. This role requires excellent communication skills, attention to detail, and the ability to anticipate needs and act accordingly. The ideal candidate should possess soft accounting skills—such as tracking petty cash, preparing basic expense summaries, and supporting invoice follow-up—and be able to draft formal correspondence and letters that speak confidently, eloquently, and professionally on behalf of the executive.

Key Responsibilities:
• Manage executive calendars, schedule meetings, and organize appointments
• Arrange international and domestic travel, including flights, accommodation, and itineraries
• Prepare correspondence, reports, presentations, and official letters that reflect a polished and professional tone
• Handle confidential information with discretion and professionalism
• Organize and maintain files and records, both physical and digital
• Serve as the point of contact between executives and internal/external stakeholders
• Monitor email and respond on behalf of executives when appropriate
• Coordinate events, meetings, and off-site engagements
• Perform personal errands and assist with tasks as assigned by the executive
• Support basic financial documentation and tracking through soft accounting tasks such as expense logs and petty cash reconciliation

Required Qualifications:
• Bachelor’s degree in Business Administration or equivalent qualification
• Minimum 3 years of experience as a Personal Assistant, Executive Assistant, or similar role
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Excellent verbal and written communication skills in English
• Strong writing skills with the ability to draft persuasive and polished professional documents
• High level of integrity, discretion, and professionalism
• Strong time management and multitasking abilities
• Ability to adapt to shifting priorities and work well under pressure

Preferred Qualifications:
• Experience supporting C-level executives (servicing Chief Executive Officer/Chief Financial Officer)
• Previous work experience and knowledge of local administrative protocols
• Valid driver's license
