Job Description:
We are seeking an efficient, personable, and highly organized Administrative Assistant to join our Administration team. As the first point of contact for the organization, the successful candidate will play a vital role in supporting daily office operations and maintaining a welcoming environment for visitors and staff. This role demands excellent multitasking skills, professionalism, and the ability to manage office duties with attention to detail.

Key Responsibilities:

  • Serve as the initial point of contact for visitors and callers, directing inquiries and providing information about services.
  • Handle incoming and outgoing calls, emails, and communications efficiently.
  • Assist with general administrative duties such as filing, typing, copying, scanning, and maintaining records.
  • Schedule meetings, appointments, and travel arrangements for staff as needed.
  • Maintain a tidy and organized reception area that is welcoming to guests.
  • Monitor and replenish office supply inventory.
  • Coordinate meeting room bookings and ensure readiness for scheduled meetings.
  • Arrange internal and external transportation in line with business needs.
  • Oversee the efficient management of the organization’s fleet and transport scheduling.
  • Follow safety protocols to maintain office security and manage visitor access.
  • Perform any other administrative or clerical duties as may be assigned.

Required Qualifications:

  • Diploma in Customer Service, Secretarial Services, Front Desk Services, or equivalent.

Relevant Experience:

  • Minimum of three (3) years of experience in a clerical or front office role.
  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Must possess a valid Class B Driver’s License.
  • Familiarity with standard office procedures and equipment.
  • Ability to type quickly and handle multiple tasks effectively.
  • Willingness to learn and participate in ongoing training.
